Privacy Policy 

1. Introductory provisions and purpose of the policy

These Privacy Policy (the “Policy”) describe how BiQ Group a.s., Company ID No. 07560494, registered office: Doudlebská 1699/5, Nusle, 140 00 Prague 4, registered in the Commercial Register maintained by the Municipal Court in Prague, file no. B 23898 (the “Controller”), processes personal data of natural persons in accordance with Regulation (EU) 2016/679 (GDPR) and other applicable personal data protection laws.  

The Controller operates this group website as a central communication hub of the BiQ Group. Personal data are collected through contact forms and analytical/marketing tools. The purpose of this Policy is to provide website visitors and other data subjects with clear and comprehensible information on what personal data are processed, for what purposes, how, and what rights data subjects have.  

2. Categories of personal data processed

a) Basic identification and contact details 

In connection with the use of contact forms, we process in particular: 

  • first and last name,
  • email address,
  • phone number,
  • the message text provided by the user. 

b) Technical data (especially cookies)

When you visit the website, data may be processed from your end device, e.g., IP address, cookie identifiers or other online identifiers. These data are used mainly to ensure the website’s functionality, to analyse traffic and for marketing purposes (e.g., via tools such as Google Analytics, Meta, Leady.cz and others). These data are not used for automated individual decision-making producing legal effects concerning you.  

3. Purposes, legal bases and retention periods

The scope and period of processing depend on the specific purpose. For most purposes, consent is not required because the processing follows from the Controller’s legitimate interests or is necessary for steps taken prior to entering into a contract. Some activities (especially analytics and marketing) are carried out only on the basis of consent granted via the cookie banner.  

a) Contact forms

Personal data entered in a form are processed to handle the enquiry/request and for subsequent communication. 

Legal basis: Article 6(1)(b) GDPR (steps prior to entering into a contract) or 6(1)(f) GDPR (Controller’s legitimate interests). 

Retention: for the time necessary to handle the enquiry and then typically 12 months.  

b) Analytics and marketing tools 

If consent is granted, the Controller may use cookies and other technologies to analyse traffic and target marketing activities (e.g., Google Analytics, Meta, Leady.cz). 

Legal basis: Article 6(1)(a) GDPR (consent). 

Retention: for the duration of consent and as set by each tool’s configuration.  

4. Sharing within the group

The Controller may share personal data obtained via contact forms with other BiQ Group companies where necessary to handle a specific enquiry or request, in particular:  

  • BOOTIQ s.r.o.; 
  • BOOTIQ SK s.r.o.; 
  • Consulting Company Novasoft, a.s.;
  • BiQ Bluesoft a.s.;
  • VoxDesign s.r.o.;
  • BIQ Talentiq s.r.o.;
  • YOUR SYSTEM, spol. s r.o.

These companies then process the data as separate controllers to respond to the enquiry or for further communication.  

5. Disclosures to other recipients

Personal data may also be disclosed to trusted service providers who, for the Controller, ensure for example: 

  • operation and maintenance of IT systems and hosting,
  • analytics and marketing tools,
  • technical support for the website.

These providers act as processors and handle personal data only per the Controller’s instructions. Personal data are not transferred outside the EU/EEA other than in compliance with the European Commission’s Standard Contractual Clauses or other appropriate safeguards under the GDPR.  

6. How personal data are processed

Processing is carried out both manually and by automated means, with technical and organisational measures adopted commensurate with processing risks to ensure the security of personal data and the protection of data subjects’ rights. Only authorised persons have access to personal data. 

7. Cookies

Cookies are small text files stored on a user’s device when visiting the website, enabling the device to be recognised later.  

Necessary cookies 
Ensure the website’s technical functionality and security and are activated automatically.  

 

Statistical cookies
Used to collect anonymised data on traffic and website use; exclusively for statistical purposes.  

 

Marketing cookies
Enable the display of relevant advertising and the use of third-party marketing tools (e.g., Meta, Leady.cz). Activated only based on the visitor’s consent via the cookie banner.  

You can adjust your consent at any time using CookieBot, which is implemented on the website and manages cookie categorisation and consent in compliance with legal requirements.  

8. Data subjects’ rights

Under the GDPR, data subjects have in particular the right to: 

  • access their personal data;
  • rectify inaccurate or incomplete data;
  • erasure of personal data (“right to be forgotten”) where the data are no longer needed or processing is unlawful;
  • restriction of processing;
  • object to processing carried out on the basis of legitimate interests;
  • data portability, where technically feasible;
  • lodge a complaint with the supervisory authority – the Office for Personal Data Protection (www.uoou.cz).

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal does not affect processing carried out prior to withdrawal.
